Key Responsibilities:
Administrative Support
Organize and send out weekly call-in links for Sales Meetings
Provide occasional assistant support to our Broker, Kate
Create and organize buyer and seller packets
Take inventory and reorder frequently used supplies (e.g., printer paper, sticky notes, stamps, etc.)
Answer phones and relay messages promptly and accurately
Agent Relations & Hiring
Communicate with and schedule interviews for potential new agents
Print resumes and interview questions for Kate
Attend interviews and take notes
Manage onboarding for new agents:
Schedule headshots
Coordinate email and website setup with our Senior Director
Order complimentary name badges
Add agent info to Google Drive records
Share calendars and assist with tech setup
Order sign riders and assist with marketing tools
Earnest Money & Recordkeeping
Manage earnest money deposits, forms, and digital recordkeeping
Ensure accurate distribution of receipts and scanned documents
Inventory & Office Management
Maintain inventory for office supplies, signs, stakes, and key system
Track who checks keys in/out; update log quarterly
Water plants, take out trash, and keep a clean, welcoming office environment
Marketing & Agent Support
Assist agents with marketing and social media tasks as needed
Take and send photos/videos to the marketing team
Provide printer help, MLS sheets, and non-listed sale records
Occasionally assist with putting up signs
Financial & Operational Duties
Track all office spending on the company credit card; report to Chelsea monthly
Pay office rent (send checks provided by Chelsea, our Senior Director, by the 1st)
Manage closing gifts and local advertising
Work with the Tuscaloosa office on holiday cards
Schedule end-of-year meetings for agents
Submit monthly list of office fees to our office manager, Leslye in Tuscaloosa
Make deposits and send scanned receipts to our Senior Director, Chelsea, in Tuscaloosa
What We’re Looking For:
Strong organizational and multitasking skills
Excellent communication and interpersonal abilities
Comfortable using Google Drive, email, printers, and basic office tech
Friendly and approachable with a can-do attitude
Previous experience in office management or real estate preferred, but not required
Schedule:
Full-time/Part-time, in-office position
